2. What we collect
Venue enquiries
When you send an enquiry, we collect the information you provide: your name, email address, optional phone or WhatsApp number, preferred space, preferred start date, number of nights, date flexibility, expected group size, retreat or workshop type and any optional message.
The first-contact form is not intended for medical, mental-health or other sensitive personal information. Please do not include this in the optional message. If accessibility, dietary or other participant information is needed later, the New Eden team will explain how to provide it at the appropriate stage.
Technical information
Our hosting provider processes ordinary technical request information needed to deliver and protect the website, such as IP address, browser type, requested page and request time. If you allow optional services, the relevant providers may also receive information about your device, visit and interaction with their service.
3. Why we process it

We do not sell your personal information. We do not use a venue enquiry to add you to marketing email without a separate, clear choice.
4. Who we share information with
Authorised New Eden team members receive enquiry information so they can respond. We also use service providers where needed to operate the website and enquiry process:
- Netlify for website hosting, form backup and delivery infrastructure.
- New Eden’s authorised enquiry automation and email providers to route each enquiry to the team and retain a backup copy.
- Plausible for optional website analytics.
- Vimeo for optional video playback.
- Google Maps for optional interactive maps.
- Gupshup and WhatsApp for optional messaging.
We may also disclose information when required by law or where reasonably necessary to protect New Eden, our guests or the public.
5. International transfers
Some service providers operate outside the European Economic Area. Where personal information is transferred internationally, New Eden requires an applicable lawful transfer mechanism, such as an adequacy decision, the EU Standard Contractual Clauses or another protection recognised by EU law.
6. How long we keep information
We keep an enquiry only for as long as reasonably needed to respond and manage a possible booking. The appropriate period depends on whether the enquiry develops into a booking, the continuing business relationship and whether information is needed to establish or defend a legal claim.
Confirmed booking records and invoices that fall within Dutch tax and accounting requirements are retained for seven years. Information that is no longer needed for the relevant purpose or a legal obligation is deleted or anonymised.
7. Your rights
Depending on the circumstances, the GDPR gives you the right to:
- access the personal information we hold about you;
- have inaccurate information corrected;
- ask for deletion or restriction, subject to legal retention duties;
- receive a portable copy of information you provided;
- object to processing based on legitimate interest; and
- withdraw consent for processing that relies on it.
To exercise a right, email info@neweden.org. We may need to verify your identity and will normally respond within one month.
You may also complain to the Dutch Data Protection Authority or the supervisory authority in your EEA country of residence.
8. Cookies and similar technologies
We use an essential preference to remember whether you allowed or declined optional website services. Where consent is required, optional analytics, videos, maps and WhatsApp remain blocked until you allow them. In other regions, these services may load under the website's regional consent settings.

9. How we protect information
We use encrypted HTTPS connections, server-side form handling, access controls, anti-spam checks and rate limiting. Access to enquiries is limited to people and providers who need it for their role. No internet service can be guaranteed completely secure, but we review safeguards as the website and its providers change.
10. Children
This website and its venue enquiry form are intended for adult organisers. We do not knowingly collect information directly from children through this website.
11. Changes and contact
We may update this policy when the website, enquiry process or legal requirements change. The current version and update date will be published here.
